Backup & sync guide

Keep your invoices safe on your own services. We never see your backups.

How backups work

Open the app's menu (☰, top right) and choose Backup & restore.

  1. Choose folder: pick where backups go. Android shows your phone's storage and any cloud apps that add themselves to the picker, such as Nextcloud.
  2. Back up now writes InvoiceMaker-backup-YYYY-MM-DD.db (one file per day). The app keeps the newest 7 daily backups by default and deletes older ones.
  3. Automatic backup (Premium Plus) backs up a few seconds after every change.
  4. Also save invoice PDFs keeps a PDF of every invoice in an Invoices folder next to the backups.

To get backups off your phone, choose a folder that one of the tools below keeps in sync.

Nextcloud

Option A: pick a Nextcloud folder directly

  1. Install the Nextcloud Android app and sign in.
  2. In Invoice Maker, tap Choose folder, open the side menu in the picker and choose Nextcloud, then pick or create a folder such as Invoices.

If the picker doesn't let you choose a Nextcloud folder, use option B.

Option B: local folder + auto upload

  1. In Invoice Maker, choose a phone folder such as Documents/InvoiceMaker.
  2. In the Nextcloud app: Settings → Auto upload, add a custom folder, select Documents/InvoiceMaker and choose where it uploads to.

Google Drive

Google Drive lets apps save single files but not keep writing to a folder, so:

Syncthing (no cloud at all)

  1. Install a Syncthing app on your phone (for example Syncthing-Fork) and Syncthing on your computer.
  2. Share your backup folder (for example Documents/InvoiceMaker) between the two devices.
  3. Set the phone side to Send only if you want the computer to be a pure backup.

Your own server: SFTP or rsync

Restoring on a new phone

  1. Install Invoice Maker Small Business.
  2. Get your latest InvoiceMaker-backup-….db onto the phone (or make it reachable through your cloud app).
  3. Open ☰ → Backup & restore → Restore from backup… and pick the file.

The app checks the file, keeps a safety copy of what's currently in the app, then restarts with your restored data. Backups from older versions of the app are upgraded automatically.

Backup files aren't encrypted by the app. Keep them in a folder or service you trust, ideally one with its own encryption.

Records for your accountant

Backups are for restoring the app. For a spreadsheet, use Reports → Export CSV (Premium), which lists each invoice with dates, client, currency, totals and paid status.
